and Music Len. Fields will be automatically filled in with the total length of the audio in seconds. If the music composition is not used for the entire spot length you will need to change the Music Len. field to the appropriate length in seconds.

Type your name into the
Input By field. You can also add any transit comments that are appropriate.

You can now update the record by using the
Update button without altering its status, or change its status also in one step.

CHANGING A SPOTS STATUS

Whilst a spot may be part of the system, it will not be scheduled to run or stop until its status is changed. There are three states of a spot:

  • Pending--The spot has been added, but no production work has been done on it so it can not be run as of yet.
  • Active--The Spot is part of the schedule.
  • Disabled--The Spot has finished its run and has been removed from the schedule. Typically Disabled spots are then deleted, although Disabled is a transitory state (similar in nature to Pending), in which the spot may be later re-activated if it is a regular client and you don't want to re-enter the spot details.

Once production has been completed on an audio spot and the relevant details (such as the spot length) have been added to the record it can be made active. It can also simply wait in stasis as Pending until the Run start Date, however be aware that the spot will not automatically activate at the Run Start Date; it must be manually activated on the production screen.


Spots are made active using the tick boxes at the right of the screen.

Only one state can be selected for the status to be updated. You un-Tick the current state and tick the state you wish the spot to become. The need to un-tick one then the new state acts as a double-check mechanism. If you try to update a spot with more than one status ticked, or no status ticked, the screen will not let you proceed.

When you make a spot active, the entire schedule has alterations made to it. Because you have the ability to manually edit the schedule (discussed later on the schedule screen) you may not want to alter every single week as you may have undertaken some complicated editing of specific hours to get them just right previously.

To this end you have the option of activating the spot into a choice of weeks. Tick the weeks you want it activated into (i.e. the weeks you are happy to have alterations made to), Un-tick the weeks you don't want it activated into (i.e. the ones you want to leave untouched due to extensive manual editing).

Changing status of spots requires the software to work its way through the entire schedule. This means changing from one status to another may take up to 30 seconds to complete the process. During this time you can check the progress by watching the green status bar. If you update a record and the status remains the same then the process is instant as no additions, or removals are made in the schedule.
